Office Assistant

Lynch & Associates is a growing multi-disciplinary consulting firm with offices in New Berlin and Burlington, Wisconsin. Our services include civil engineering, surveying, construction observation and municipal services.  We are currently seeking a highly motivated part-time (15-20 hours per week) Office Assistant to provide support in our New Berlin office.  All qualified and interested candidates, please forward a cover letter and resume to Jennifer Robson at jrobson@lynch-engineering.com.

 

Qualifications and Experience:

  • Proficient in Microsoft Word, Excel and other basic software applications
  • Excellent verbal, written, and interpersonal skills
  • Detail-oriented with strong organizational skills
  • Capable of adapting to shifting priorities


Essential Responsibilities:

The selected candidate will be required to perform the following tasks:

  • Answer phones for all Company offices
  • Assist in ordering all office and field supplies
  • Cleaning and maintaining a well-organized New Berlin office location
  • Assist in office filings
  • Assist in organizing office functions, both social and professional
  • Assist in coordinating building and office maintenance and repairs, if needed
  • Assist in mail distribution and delivering outgoing deliverables, including permit payments to Counties
  • Assist in registrations for conferences and other events, when needed Provide
  • Provide Notary services for the New Berlin office
  • Provide general administrative assistance to Project Managers and other staff, as needed
  • Assist in preparing marketing materials, proposals, RFP submittals, Masterworks assistance, and presentations under the direction of other team members
  • Manage the company’s social media presence
  • Assist the Survey Department in managing electronic project directories, preparing survey proposals, opening new projects including billing in Vantagepoint, filing contracts, and handling survey submittals to counties.
  • General knowledge base with Vantagepoint
  • Assist in AP collections for Managing Members and Survey
  • Collect and enter weekly mileage logs for Company vehicles
  • Assist in Vehicle Maintenance, if needed for New Berlin Company vehicles
  • Maintain insurability under the Lynch & Associates Automotive policy to operate a company or personal vehicle to conduct business 
  • Ability to work independently and be self-motivated
  • Various other administrative tasks as directed to assist the Lynch & Associates team
